CANDIDATESASSESSMENT — AGENCY IMPLEMENTATION CHECKLIST Current product boundary: 27 August 2026 Use this checklist to run one candidate assessment project from client brief to client decision. Keep the completed copy with the project operating notes. 1. ACCOUNT AND CLIENT SETUP [ ] Confirm the recruiter can access the agency account. [ ] Create or select the correct client record. [ ] Create the project and confirm the role name is clear to the team. [ ] Identify the recruiter responsible for candidate support and follow-up. 2. ROLE AND ASSESSMENT PLAN [ ] Write the outcomes the client expects from the role. [ ] Choose only assessments that address a material evidence need. [ ] Remove duplicate or weakly relevant measures. [ ] Confirm every compared candidate will receive a consistent process. [ ] Write the interview questions that will verify mixed or uncertain evidence. 3. INVITATION READINESS [ ] Check each candidate name and business email address. [ ] Remove duplicate rows from the CSV before upload. [ ] Confirm project assignment, instructions, deadline, and support route. [ ] Explain why the assessment is being used and what happens next. [ ] Keep an approved copy of the invitation file with the project notes. 4. DELIVERY AND COMPLETION [ ] Review sent and failed invitation states after the batch is queued. [ ] Correct failed addresses before resending through the approved route. [ ] Separate delivery or access problems from candidate evidence. [ ] Follow up based on invited, started, and completed stages. [ ] Record interruptions or material access context before interpretation. 5. EVIDENCE REVIEW [ ] Confirm comparable candidates completed the intended assessment plan. [ ] Review individual results before relying on a ranking or overall pattern. [ ] Compare strengths, risks, trade-offs, and areas to verify. [ ] Turn uncertainty into a structured interview question. [ ] Keep the recruiter or client responsible for the hiring decision. 6. CLIENT HANDOFF [ ] Select the candidates and evidence needed for the shortlist brief. [ ] Check the server-generated PDF before sharing. [ ] Send the opaque, expiring or revocable review link to the intended client email. [ ] Explain that the client uses verified email and a one-time code. [ ] Ask for one explicit action: interview, hold, or decline, with context. 7. PROJECT CLOSEOUT [ ] Review funnel conversion and invitation delivery health. [ ] Review shortlist views, client response time, and decision breakdown. [ ] Record the project outcome and follow-up owner. [ ] Revoke links that should no longer remain available. [ ] Capture process improvements for the next client role. TROUBLESHOOTING NOTES Invitation failed: - Check the address, correct the candidate record, and resend. - Do not interpret a delivery failure as candidate disengagement. Invited but not started: - Confirm delivery, timing, instructions, and the support route. - Do not infer motivation or capability from the status alone. Started but not completed: - Ask about access, interruption, support, or accommodation needs. - Do not treat a partial attempt as ordinary comparable evidence. Mixed evidence: - Use a structured interview question tied to the relevant evidence. - Do not let one weak signal decide the shortlist automatically. Client has not responded: - Follow up with the evidence link and one clear decision request. - Do not treat silence as a decline.
